SPEY COAST TENANTS FORUM. MINUTES OF THE ANNUAL GENERAL MEETING HELD ON THE 13TH NOVEMBER 2008 IN THE COMMUNITY HIGH SCHOOL, BUCKIE AT 7.3O.P.M. PRESENT ; Harry Walton Chair person. By invitation: Graeme Davidson-Housing Strategy & Policy Manager APOLOGIES FOR ABSENCE Apologies for absence were received from Patricia Beattie, Gilbert Grant, Annie Cowie, George MacIntyre and Joe McKay. WELCOME Harry Walton welcomed everyone to the meeting and introduced Graeme Davidson. MINUTES OF MEETING HELD ON 29TH NOVEMBER 2007. The Minutes were adopted as a correct record of the Meeting. Proposed David Wood, Seconded Pearl Mann. MATTERS ARISING. Nothing raised. CHAIRMAN’ REPORT. Harry Walton advised that the Forum was operating well and good progress had been made during the year. TREASURER’S REPORT Due to the absence of the Treasurer, it was not possible for the Forum to approve and adopt the annual accounts as these were not made available to the meeting. Every effort will be made to make sure that the accounts are available for adoption at the December meeting. SECRETARY’S REPORT It was noted that all meetings of the Forum in 2008 had been well attended and most of the projects completed. Members of the Forum were undertaking computer training in Buckie High School which was progressing well. Jean Walton ended her report by expressing thanks to Alistair McQuaker and the staff in the Buckie Access Point for their assistance with photocopying the Minutes of Meetings etc, and also sending out the Nomination Forms for the Annual General Meeting; this has been much appreciated. At this point in the Meeting all Office Bearers stood down to allow for election of Office Bearers for the year 2008/2009. Harry Walton requested that the Secretary should continue to minute the meeting;this was agreed by the members. Harry Walton then introduced Graeme Davidson, Housing Strategy and Policy Manager who was going to give a presentation on the expectations of the Council with regard to the local Forums. The Tenant Participation Strategy has been ongoing for the past 5 years and the aim of the Strategy is to encourage tenants relating to the work of the Council and the Forums are an important part of the Strategy. Graeme’s talk was very interesting and explanatory and for those who did not understand all of it there would be a paper produced as soon as possible, which would be circulated to members ELECTION OF NEW OFFICE BEARERS Graeme Davidson took the chair and read out the nominations for the post of Chair-person. Harry Walton was unanimously re-elected as Chair-person for the forthcoming year and took over the chair from that point. Graeme was thanked for his help and the election for the other Office Bearers is as follows :- Vice Chair Bill Smith appointed and accepted. Secretary Jean Walton appointed and accepted. Two nominees were proposed for the post of Treasurer, i.e. Annie Cowie and David Wood. The Secretary had written to both nominees asking if they would accept the post of Treasurer; both declined the offer which left the post vacant. At this time Alistair McQuaker pointed out that there was room in the Constitution to throw this post open to the Forum. After a short discussion around the table Helen Milne was nominated, proposed and seconded and voted on as Treasurer for the forthcoming year. It was agreed that a short meeting of Office Bearers would take place as soon as possible to discuss the Agenda for the December Meeting. It was agreed this should be arranged for Thursday 20th November 2008 in the Library, Buckie at 4.30.p.m. DATE AND TIME OF NEXT MEETING: Thursday 11th December 2008 in the Community High School, Buckie at 7.30.p.m. JW/17.11.08. |
